Privacy Notice
This notice explains how RGB handles personal information when you visit this website, contact us or work with us.
Who is responsible?
RGB MEDIA LTD, trading as RGB. Company number 07543788. Registered in England and Wales. Registered office: 12 Bonners Raff, Chandlers Road, Sunderland, England, SR6 0AD.
For a privacy question, request or complaint, contact info@rgb-ltd.co.uk or call 03301 330899. Please say that your message concerns privacy so we can direct it appropriately. You can also write to our registered office.
RGB is the controller for its own enquiries, business relationships and website operation. When we handle information for a client's website or business under their instructions, the client normally remains the controller and RGB acts as a processor. Please contact that business about its customers' information; we will help it respond where appropriate.
What we use and why
| Purpose and information | Lawful basis |
|---|---|
| Replying to enquiries and preparing proposals: your name, email, optional company and budget, and message. | Steps towards a contract where you ask about services for yourself. For enquiries on behalf of a business, our legitimate interest in responding to requests and discussing possible work. |
| Delivering projects and managing clients or suppliers: contact details, correspondence, briefs, project materials and support information. | Contract where you personally contract with us. For representatives of organisations, our legitimate interest in delivering and administering the business relationship. |
| Invoices, payments and accounting records: billing contacts, transaction and invoice details. | Legal obligation for records required by tax and company law; contract or legitimate interests for arranging and pursuing payment, as applicable. |
| Website operation, fault diagnosis and abuse prevention: request information such as IP address, browser details and requested pages, and a hashed IP value for form rate limiting. | Our legitimate interest in running a reliable website and protecting it and its visitors against misuse. |
| Privacy requests and complaints: contact details, the issue raised and relevant correspondence. | Legal obligation to handle data-protection rights and complaints. |
We obtain information from you, your organisation and the systems involved in providing the service. Please provide only what is relevant. The website has no newsletter signup and submitting an enquiry does not subscribe you to marketing.
What happens to an enquiry?
The form sends your details to RGB's server, which emails the enquiry to our Gmail inbox. It does not send your message to an AI service. Name, email and message are needed to respond; company and budget are optional. If you prefer, contact us by email or telephone.
The website's workflow experiment is a rule-based illustration running in your browser. Its input is not sent to a server by the experiment. If you choose to include that input in an enquiry and submit it, it becomes part of your message to us.
Who receives information?
Relevant RGB team members and suppliers providing hosting, email and technical support may handle information needed for their work. Our enquiry emails are delivered to Google Gmail. Professional advisers and public authorities may receive information where needed for advice, legal obligations or legal claims. A supplier's role depends on what it does and its applicable terms; not every service acts as our processor.
AI-assisted work
We use AI tools to assist activities such as coding, debugging, research, drafting, design ideas and testing. This does not mean every project or customer record is sent to AI. Our approach is to use personal information only when necessary and appropriate for the task, limit the information involved, scrutinise sensitive material and check the provider, account settings and relevant permissions before use. Outputs require appropriate human review and testing; AI does not guarantee accuracy, originality or freedom from third-party rights.
Any proposed use involving a client's customer information needs to be assessed against that client's instructions and the applicable data-protection arrangements. This notice does not authorise access to client records or replace a processing agreement.
International handling
Online suppliers may process information outside the UK. Google's privacy information describes its international handling of Gmail data. The applicable arrangements depend on the service and account used. Contact us for information about the recipients and transfer arrangements relevant to your information. We do not promise that all information stays in the UK.
How long we keep information
We retain enquiries and business correspondence while needed to answer the request, manage any resulting relationship and deal with relevant disputes. Project and support information is retained according to the work agreed, ongoing support needs and relevant legal obligations. We consider the sensitivity of the information and whether it can be deleted or anonymised when its purpose ends. Accounting records are kept for the periods required by applicable law. Where we process information for a client, return and deletion follow its instructions and our agreement.
Our form's abuse-prevention entries expire after an hour and are removed on a later submission. Cookie-choice storage has its own duration, explained in our Cookie Notice.
Your rights and complaints
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information. You may object to processing based on legitimate interests, and can withdraw consent where consent is the basis. These rights are subject to legal conditions and exceptions. Withdrawing consent does not affect earlier lawful processing.
Contact info@rgb-ltd.co.uk or call 03301 330899. We may ask for proportionate information to verify your identity. Rights requests are normally answered within one month; if a lawful extension or clarification pause applies, we will explain it. We acknowledge data-protection complaints within 30 days, investigate and keep you informed of the outcome without undue delay.
You can complain to the Information Commissioner's Office. You do not have to use a particular form or quote legislation to raise a concern with us.
